Tea Party 2011 Needs
Volunteers
The Georgeson Botanical Garden Society is planning their annual tea party. The
majority our critical coordinator roles are currently unfilled and if they
don't find people willing to step into these positions by March 30th, they
will have to cancel the event, which is a much needed fundraiser for the
botanical garden. Since we first published this, two positions have been filled, so
the following include only those still needed.
None of the following positions require a lot of previous experience.
Most of the setup and legwork was done last year. All we need are folks
who are willing to commit to making it happen.
Time commitment:
We will be meeting once a month initially and once a
week as we head into June. The Tea Party is scheduled for Sunday, June
26th from 1-4:00 p.m. Post-event, we meet for the final time to go over
what went well and what didn't.
Key personnel needed:
- Overall Coordinator
- Treasurer--oversee ticket and mug sales, keep track of expenses
and income including gate tally and silent auction, submit final report to
GBG Treasurer.
- Advertising Co-Chair
- Volunteer Coordinators (two, possibly three people)--solicit
volunteers for day of event duties (taking tickets, serving food, parking
attendants, clean up, and set up, etc.). Be on hand Sunday June 26th to sign
in volunteers and direct them to where they need to be. Circulate through
the party to iron out any logistical problems that may arise.
Food Coordinator--solicit food donations from volunteers, keep track of who
has agreed to bring what, be on hand before the event to take in food
donations, during the event make sure that food gets out to the tables,
disposal/donation of leftovers. Notes: The Garden has a cool room that we
can use for keeping the edibles before the event. People were very eager
last year to volunteer to make things for the tea and we had plenty of food
for the event. Diane Hunt was going to submit our food waiver to Dining
Services. Virginia met with the new Dining Services Manager over the summer
and she is very willing to work with us. Susan Risse has agreed to return as
Hot Water Captain. Having enough hot water is mission-critical to the event.
- Silent Auction Coordinators (two people)--solicit and collect donations for
silent auction, set up silent auction table on day of event, collect monies
at end of day, distribute items to successful bidders and/or arrange for
pick up, return any unsold items, tally monies and submit final report to
Tea Party Treasurer.
